Privacy Policy

This Policy explains how ResumeFlare handles personal information when you use our Service.

Overview

This Privacy Policy describes how ResumeFlare ("we," "us," "our") collects, uses, discloses, and protects personal information when you use our website, web application, browser extension, and related services (collectively, the "Service"). If you do not agree with this Policy, please do not use the Service.

Controller and contact

For the purposes of this Policy, the data controller is ResumeFlare. For privacy-related requests or questions, contact us at hello@resumeflare.com.

Personal information we collect

Depending on how you use the Service, we may collect:

  • Account information. Email address, sign-in details, and information tied to your account when you register or sign in.
  • Profile and resume data. Name, contact details, work history, education, skills, and other information you provide; files you upload or import; and text you paste to build or edit your profile.
  • Job and application data. Job descriptions, links or sources, company and role details, preferences you set, generated resumes and cover letters, downloads, saved applications, and feedback you give us about generations.
  • Billing information. Subscription and payment details needed to bill you. Payment card numbers are collected and stored by our payment provider, not by us.
  • Usage and device information. How you use the Service, including pages viewed, actions taken, browser and device type, general location derived from your network address, logs, cookies, local storage, and extension session data tied to your account.
  • AI-related information. Content you submit for generation, model outputs, and diagnostic information used to run, improve, and troubleshoot AI features. This may include personal information contained in the content you provide.

How we use personal information

We use personal information to:

  • Provide, operate, and improve the Service
  • Sign you in and maintain your account
  • Generate, store, and let you download tailored resumes, cover letters, and related files
  • Process subscriptions and payments
  • Detect, prevent, and respond to abuse, fraud, and violations of our terms
  • Provide customer support and respond to your requests
  • Understand how the product is used and how well it performs
  • Keep the Service secure and reliable
  • Comply with legal obligations and enforce our agreements

Artificial intelligence processing

To generate and tailor documents and related features, we send relevant portions of your content to AI service providers. Those providers process the data on our behalf according to their terms and policies. You should review all AI-generated output before you use or submit it. We do not make hiring decisions for you and do not guarantee how any employer or system will treat your materials.

How we share personal information

We share personal information with service providers that help us run the Service, such as those that provide:

  • Hosting, databases, and file storage
  • Artificial intelligence and document generation
  • Payment processing and subscription management
  • Product analytics and performance measurement
  • Transactional email

When you use the browser extension or paste content from job boards and employer sites, those sites' own privacy practices apply separately.

We may also disclose information if we believe in good faith that disclosure is required by law, legal process, or government request; to protect the rights, safety, or property of ResumeFlare, our users, or others; or in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.

We do not sell your personal information to data brokers.

Cookies, local storage, and similar technologies

We and our analytics partners may use cookies, local storage, and similar technologies for sign-in, preferences, security, and understanding how the Service is used. Our browser extension may use storage to keep you signed in. You can control many of these settings in your browser; doing so may affect certain features. We do not currently offer a dedicated cookie preference center unless we add one in the future.

Retention

We keep personal information while your account is active and as needed to provide the Service. We may also retain information for security, dispute resolution, and legal, tax, and accounting requirements. Files you upload only to import a profile may be removed after processing, while the profile data we extract may stay in your account. Billing records may be kept as long as the law and our payment rules require.

Security

We use administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

Your choices and rights

You can access and update much of your profile and account information in the Service. Where available, you can delete individual saved applications. You can manage or cancel a paid subscription through the billing portal linked from the product. To request access, correction, deletion, or to exercise other rights where applicable law allows, contact us at hello@resumeflare.com. We may need to verify your request and may retain certain records where permitted by law.

United States state privacy disclosures

We do not sell your personal information as that term is commonly defined under U.S. state privacy laws. We do not share personal information for cross-context behavioral advertising as a sale of personal information. If our analytics or advertising practices change in a way that could require additional choices under applicable state law, we will update this Policy and provide those choices where required. You may use browser controls to limit certain tracking. We will not discriminate against you for exercising privacy rights afforded by law.

European Economic Area, United Kingdom, and Switzerland

Where European privacy laws apply, we process personal information when needed to provide the Service to you, for our legitimate interests (such as improving and securing the Service and preventing abuse), with your consent where we rely on it, and to meet legal obligations.

Depending on where you live, you may have the right to:

  • Access a copy of your personal information
  • Ask us to correct inaccurate information
  • Ask us to delete your information, subject to exceptions
  • Receive certain information in a portable format
  • Object to or restrict certain processing
  • Withdraw consent where we rely on consent
  • Lodge a complaint with a privacy regulator in your country or region

If we transfer personal information outside your region, we use appropriate safeguards as required by law. You may contact us at the email above for privacy requests; we do not appoint a separate data protection officer for purposes of this Policy.

Children

The Service is intended for adults who are at least 18 years old or the age of majority in their jurisdiction. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected such information, contact us and we will take appropriate steps to delete it.

Changes to this Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last updated" date below. Where changes are material, we will provide additional notice as appropriate (for example by email or in-product message).
